AP Accountant

Overview: As an Accounts Payable Accountant, your primary responsibility is to manage the registration of invoices and other financial obligations of the organization in an accurate and timely manner. You will ensure that all invoices are processed efficiently, vendors are paid on time, and financial records are accurately maintained. Attention to detail, organizational skills, and proficiency in accounting software are essential for success in this role.

 

Responsibilities:

  1. Invoice Processing:
    • Receive and review invoices from vendors for accuracy, completeness, and compliance with company policies.
    • Code invoices with appropriate account codes and cost centers for proper allocation.
    • Enter invoices into the accounting system for processing and payment.
  2. Payment Processing:
    • Prepare and process payment batches, including checks, electronic transfers, and wire transfers.
    • Verify payment approvals and ensure compliance with payment terms and contractual agreements.
    • Reconcile payment transactions to ensure accuracy and completeness.
  3. Vendor Management:
    • Maintain vendor accounts, including updating contact information and payment terms.
    • Communicate with vendors regarding invoice discrepancies, payment inquiries, and other related matters.
    • Resolve vendor issues and discrepancies in a timely and professional manner.
  4. Expense Reporting:
    • Review and process employee expense reports, ensuring compliance with company policies and proper documentation.
    • Reconcile expense reports with supporting receipts and documentation.
    • Prepare expense reimbursement payments for processing.
  5. Month-End Close:
    • Assist in month-end closing activities, including reconciling accounts payable balances and preparing accruals.
    • Provide necessary reports and analysis to support the financial reporting process.
  6. Compliance and Internal Controls:
    • Ensure compliance with company policies, procedures, and regulatory requirements related to accounts payable.
    • Maintain internal controls over accounts payable processes to safeguard assets and prevent fraud.
    • Participate in internal and external audits as needed, providing documentation and explanations related to accounts payable transactions.
  7. Process Improvement:
    • Identify opportunities to streamline accounts payable processes and improve efficiency.
    • Implement best practices and automation tools to enhance productivity and accuracy.
    • Collaborate with cross-functional teams to optimize workflow and resolve issues.

 

Qualifications:

  • Bachelor's degree in Accounting, Finance, or related field.
  • Proven experience in accounts payable or related accounting roles.
  • Proficiency in accounting software, such as QuickBooks, SAP, or Oracle.
  • Strong attention to detail and accuracy in data entry and processing.
  • Excellent organizational and time management skills.
  • Effective communication and interpersonal skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Knowledge of accounting principles and practices.
